Job Summary

As a Matching Operations Coordinator, you will play a pivotal role in facilitating communication between talent and internal team members within our organization. Your primary focus will be to own and maintain effective communication channels with talent while managing various administrative tasks to ensure streamlined operations and job performance. We are seeking individuals who demonstrate exceptional organizational skills, confidence, and possess strong written and verbal communication abilities, with keen attention to detail.

This is a remote position. We do not offer visa sponsorship or assistance. Resumes and communication must be submitted in English.

Responsibilities:

  • Act as the primary point of contact for communication between talent who are hired on client engagements and internal Toptal stakeholders.
  • Independently manage communication through various channels to ensure seamless interactions and information sharing. Written communication is especially important.
  • Follow up with talent within assigned accounts to understand project status, identify and pursue up-sell and cross-sell opportunities, proactively prevent disputes, and share relevant updates with stakeholders as needed.
  • Manage and execute various tasks and actions associated with assigned accounts to ensure smooth operations and job performance.
  • Maintain proactive and timely communication with the team via Slack or Zoom during designated working hours.
  • Organize and update process guidelines, making them easily accessible for team reference.
  • Assist in onboarding new team members to ensure a smooth integration process.
  • Support the completion of ad-hoc strategic projects, as needed.

In the first week, expect to:

  • Complete onboarding and integration into Toptal.
  • Familiarize yourself with Toptal’s culture, history, and vision.
  • Learn team tools, processes, and reporting mechanisms.
  • Gain proficiency with Toptal’s platform.

In the first month, expect to:

  • Understand team processes, policies, and content repository.
  • Familiarize yourself with various teams at Toptal and their contributions to company success.
  • Begin executing tasks with support from other team members.

In the first three months, expect to:

  • Independently execute various tasks and actions associated with assigned accounts based on defined processes.

In the first six months, expect to:

  • By having a full grasp of the role, start making your own contributions to our strategies, while exercising discretion and independent judgment.
  • Be an integral part of the Matching team’s success.

In the first year, expect to:

  • Act as a subject matter expert on the Matching Operations Coordinator role.

Qualifications and Job Requirements:

  • Bachelor’s degree is required.
  • 2-3+ years of experience in coordination, operations support, or customer support roles.
  • Excellent written and oral communication and stakeholder management skills. Good communication is at the core of everything we do. You must be able to maintain clear, timely, and smooth communication with talent and internal stakeholders, ensuring alignment and preventing communication gaps or misunderstandings.
  • Excellent organizational skills and strong attention to detail. You are highly organized, know how to work efficiently, and prioritize execution.
  • You should be a self-starter who thrives on accountability and managing your own workflow, tasks, and assigned accounts.
  • Ability to work independently at a high professional level. You are expected to take ownership of your responsibilities, manage your workload effectively, exercise sound judgment, and maintain a high standard of professionalism with limited supervision.
  • You need to be able to follow processes expertly. When faced with limited data, you need to be able to make decisions that follow given guidelines.
  • Adaptability. Our processes and priorities may evolve rapidly. You need to be able to learn and adapt to change quickly.
  • Willingness to collaborate, share knowledge, and learn from teammates.
  • Proficiency in Google Sheets and Google Docs for data processing and presentation.
  • Data analysis and data-driven decision making. Experience analyzing operational data, identifying trends, and translating data into actionable insights is a plus.
  • Continuous Improvement. You proactively identify opportunities to improve processes, increase efficiency, and use data and feedback to inform better ways of working.
  • Project management experience or technical background is advantageous.
  • Ability to work in a fast-paced, rapidly growing company and handle a wide variety of challenges, deadlines, and a diverse array of contacts.
